Our client is a well-regarded Melbourne-based property and development business delivering thoughtful, high-quality projects and maintaining strong industry relationships.

They are seeking an Administration & Marketing Coordinator to join their close-knit team in a varied role that blends office coordination, marketing support and event organisation . Working within a small, collaborative environment, you will be involved across many facets of the business and gain valuable exposure to projects, marketing initiatives and company events.

This role would suit someone who enjoys a hands-on position with variety , particularly someone who has worked within property, architecture, design or professional services environments .

About the Role

This is a varied and engaging position supporting the smooth running of the office while assisting with marketing initiatives, project administration and events.

Working closely with the team, you will play an important role in ensuring the office operates seamlessly while contributing to marketing materials, project coordination and special events.

Because the team is lean, you will gain valuable exposure to many aspects of the business , something that is often difficult to experience in larger organisations.

Key Responsibilities

  • Coordinate day-to-day office administration and support the wider team
  • Meet and greet clients, consultants and contractors
  • Manage meeting room bookings, catering and general office coordination
  • Assist with preparation of documents, presentations and correspondence
  • Support project administration and maintain project updates
  • Assist with marketing collateral, presentations and company materials
  • Create and update documents using InDesign , including email signatures and marketing templates
  • Coordinate events such as project milestone celebrations, display suite openings and team events
  • Liaise with internal stakeholders, consultants and external suppliers

What We’re Looking For

  • Experience in administration, office coordination, studio coordination or marketing support
  • Strong organisational and time management skills
  • Excellent communication and stakeholder management abilities
  • Experience using InDesign  is highly desirable
  • Experience supporting marketing initiatives, branded presentations or company collateral
  • Experience within property, architecture, design or professional services environments will be highly regarded
  • A proactive and adaptable approach within a small team environment
  • High attention to detail and pride in your work
  • Someone who enjoys variety and contributing to a positive team culture
