About the Role  

We are seeking a polished and proactive Office Manager / Executive Assistant to support the Directors and ensure seamless day-to-day operations. This is a varied role providing executive support, overseeing office management, and assisting with occasional personal-assistant tasks. 

You’ll be central to keeping the business running smoothly — managing priorities, communication, coordination and workflow across a small, high-performing team. 

 

Key Responsibilities 

  • Provide high-level executive support to Directors, including email management, calendar coordination, scheduling and travel. 
  • Oversee daily office operations, ensuring a professional, organised and efficient working environment. 
  • Manage office kitchen, meeting rooms and facilities.  
  • Coordinate meetings, events and travel logistics; liaise with internal and external stakeholders including architects, contractors, partners and clients. 
  • Prepare high-quality communication, reports and presentations; support strategic initiatives with documentation and follow-up. 
  • Identify opportunities to streamline processes and improve operational efficiency. 
  • Undertake ad-hoc personal-assistant tasks to support the Directors where required. 
  • Maintain strong internal communication and contribute to a positive, collaborative team culture. 

 

Requirements 

  • Proven experience supporting senior leaders with calendar management, correspondence and prioritisation. 
  • Experience in a dual Office Manager / EA role or similar position within a small, fast-paced environment. 
  • Highly organised with exceptional attention to detail, reliability and follow-through. 
  • Strong written and verbal communication skills, with the ability to confidently engage with clients, partners and external stakeholders. 
  • Proactive, solutions-focused mindset with the ability to anticipate needs and improve processes. 
  • Ability to manage competing priorities, handle confidential matters with discretion and adapt to shifting business demands. 
  • Comfortable assisting with occasional personal tasks as part of a broader executive support function.
