An exciting opportunity exists for a highly capable and adaptable Executive Assistant to support the Chief Financial Officer and Chief Customer Officer within a fast-paced, national transport business.
This is a pivotal role sitting at the centre of a busy and complex organisation, providing high-level executive support across competing priorities, multiple stakeholders, and a high-volume operational environment.
The role is initially based in Melbourne's Northern Subrubs, with the corporate office relocating to Melbourne CBD within the next 3–4 months.

You will act as the key coordination point for both Executives, ensuring seamless diary management, communication flow, travel coordination, and executive support across a national network of 36 branches.
This role requires someone who thrives in fast-paced environments, can pivot quickly, and is confident managing two very different leadership styles. You will need to be highly organised, proactive, and comfortable working with ambiguity in a constantly moving business.
Key Responsibilities
- Provide proactive, high-level executive support to the CFO and CCO
- Manage complex diaries, scheduling, and competing priorities across time zones (including Perth HQ)
- Manage high-volume inboxes (hundreds of emails daily per executive), including triaging and prioritising communications
- Coordinate domestic travel, itineraries, and logistics across the national business
- Prepare agendas, briefing materials, presentations, and board reports
- Take meeting minutes and clearly identify and track follow-up actions
- Coordinate site visits, meetings, and stakeholder engagement activities
- Process invoices, expenses, and approvals in a timely manner
- Support reporting cycles including weekly, monthly, and board-level reporting
- Assist in preparing executive correspondence and responses to routine queries
Requirements
- Proven experience as an Executive Assistant supporting senior leaders
- Strong ability to manage high-volume communication and competing priorities
- High level of discretion, professionalism, and confidentiality
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
- Experience coordinating complex calendars, travel, and logistics
- Ability to pivot quickly and respond to changing priorities within tight timeframes
