An exciting opportunity exists for a highly capable and professional Executive Assistant to support the Principal of a highly regarded independent educational institution based in Melbourne’s inner south-east.
This is a pivotal role sitting at the centre of a fast-paced and values-driven environment,
providing high-level executive support to the Principal while acting as a trusted extension of the Principal’s Office.

About the Role
You will act as the key coordination point for the Principal, ensuring seamless diary management, communication flow, stakeholder engagement, and operational support across the Principal’s Office.
Working closely with senior leadership, staff, parents, students, alumni, and broader community stakeholders, this role requires exceptional discretion, organisation, emotional intelligence, and the ability to manage competing priorities within a dynamic environment.
The successful candidate will be highly organised, proactive, polished, and capable of handling sensitive matters with professionalism and discretion.
Key Responsibilities
- Provide proactive, high-level executive support to the Principal
- Manage complex diary coordination, scheduling, and competing priorities
- Act as a key liaison for internal and external stakeholders including staff, parents, students, alumni, and community members
- Manage high-volume email correspondence and communications on behalf of the Principal
- Prepare agendas, briefing materials, reports, presentations, and executive correspondence
- Take meeting minutes and track actions across Executive and leadership meetings
- Coordinate travel, events, functions, and stakeholder meetings
- Support project coordination, school-wide initiatives, and operational activities within the Principal’s Office
- Assist with office management, hospitality coordination, and administrative operations
- Monitor and manage confidential matters with discretion and professionalism
- Support cyclical school processes, reporting requirements, and leadership activities
Requirements
- Proven experience as an Executive Assistant supporting senior executives or leadership teams
- Experience within education is highly regarded
- Exceptional organisational skills with the ability to manage competing priorities in a fast-paced environment
- High level of professionalism, confidentiality, and emotional intelligence
- Strong written and verbal communication skills
- Advanced Microsoft Office and digital literacy skills
- Ability to anticipate needs, problem solve, and work proactively
- Polished, warm, and collaborative approach with a strong service mindset
