About the Role
Reporting directly to the Director, you will serve as their right hand, acting as the primary bridge between the Director and internal staff, vendors, agents and builders. You will be trusted with full visibility of the Director's communications, using your judgement and knowledge of established precedents to resolve routine queries and keep projects moving, while escalating anything that genuinely requires the Director's personal authority.
This is a role for someone who thrives on responsibility and discretion, and who can bring genuine industry knowledge to the table. Ideally, you will have prior experience across construction (with a volume home, townhouse or apartment builder), project marketing or off-the-plan sales, and wealth creation or property investment, so you can hit the ground running and add real value from day one.
Key Responsibilities
- Manage the Director's calendar and inbox, resolving routine queries and escalating what needs their attention
- Draft correspondence and prepare daily briefings for the Director's sign-off
- Liaise with vendors, agents and builders, providing project and sales updates
- Maintain project spreadsheets, stock lists and CRM records
- Coordinate build variation approvals through to formal execution
- Follow up outstanding tasks and escalate operational issues as needed
- Attend meetings with the Director, taking minutes and preparing presentations
- Support sales meetings and track stock status with the team
- Assist with occasional personal administrative tasks for the Director
- Maintain clear documentation of processes and procedures
- Proven experience in an Executive Assistant or senior administrative support role, ideally supporting a Director or senior executive
- Industry experience in one or more of: construction (volume home, townhouse or apartment builder), project marketing/off-the-plan sales, or wealth creation/property investment
- A trustworthy, discreet approach, with sound judgement when handling sensitive information
- Strong written and verbal communication skills, confident liaising with vendors, agents, builders and internal stakeholders
- Excellent organisational skills, with the ability to manage competing priorities and follow through on outstanding tasks
- Comfortable working autonomously and taking ownership of processes and documentation
