About the Role
We are seeking a Office Support Coordinator
to join the team and play a key role in supporting client meetings, advice preparation and office operations. This role is perfect for someone who enjoys being the backbone of a professional team and is organised, proactive and client-focused.
You’ll work closely with senior advisers to deliver high-quality client experiences and efficient workflow support across Financial Planning
team .
What You’ll Be Doing

Prepare and organise review meetings and appointments
- Curate and prepare documents for client meetings, including summary packs
- Prepare file notes and action tasks from adviser meetings

Manage printing, binding and uploading documentation to iPads for client presentations
-
Use Xplan to update records, roll over tasks and manage advice workflows
- Book meetings and manage diaries in the CRM

Coordinate office supplies, stationery and team logistics
-
Support a smooth client experience through professional service and communication

Assist in organising office events and team lunches

Follow company procedures to ensure compliance and process efficiency
What You Bring

Previous experience in financial services, customer service, administration or office support

Strong organisational skills with the ability to multitask and meet deadlines

Confidence using CRMs (Xplan preferred) and Microsoft Office
-
Warm, engaging personality with excellent communication skills
- Can-do attitude and willingness to support wherever needed

Professional presentation and strong attention to detail

Team player who thrives in a supportive, fast-paced environment
Desirable

Experience in a financial planning firm

Knowledge of Xplan or similar advice software

Understanding of basic financial advice documents
