About the Role

We are seeking a Office Support Coordinator to join the team and play a key role in supporting client meetings, advice preparation and office operations. This role is perfect for someone who enjoys being the backbone of a professional team and is organised, proactive and client-focused.
You’ll work closely with senior advisers to deliver high-quality client experiences and efficient workflow support across  Financial Planning team .

What You’ll Be Doing

  • Prepare and organise review meetings and appointments

  • Curate and prepare documents for client meetings, including summary packs

  • Prepare file notes and action tasks from adviser meetings

  • Manage printing, binding and uploading documentation to iPads for client presentations

  • Use Xplan to update records, roll over tasks and manage advice workflows

  • Book meetings and manage diaries in the CRM

  • Coordinate office supplies, stationery and team logistics

  • Support a smooth client experience through professional service and communication

  • Assist in organising office events and team lunches

  • Follow company procedures to ensure compliance and process efficiency

What You Bring

  • Previous experience in financial services, customer service, administration or office support

  • Strong organisational skills with the ability to multitask and meet deadlines

  • Confidence using CRMs (Xplan preferred) and Microsoft Office

  • Warm, engaging personality with excellent communication skills

  • Can-do attitude and willingness to support wherever needed

  • Professional presentation and strong attention to detail

  • Team player who thrives in a supportive, fast-paced environment

Desirable

  • Experience in a financial planning firm

  • Knowledge of Xplan or similar advice software

  • Understanding of basic financial advice documents
