About the Role
As the first point of contact for the business, you will play a vital role in shaping the experience of every client, guest and visitor who walks through the door. This is a varied front-of-house position that blends high-level guest and client service with communication, administration, maintenance and provisioning, and broader support across the organisation. You will bring a professional, warm and welcoming manner to everything you do, while keeping the office running smoothly behind the scenes.
Key Responsibilities
- Greet and welcome guests as soon as they arrive, and direct visitors to the appropriate meeting room, person or office
- Answer, screen and forward incoming phone calls, taking and distributing messages as needed
- Provide accurate, professional information to clients and guests in person, by phone and via email
- Receive, sort and distribute daily mail and deliveries, and organise local, interstate and international couriers
- Keep the reception area tidy and well presented, with all necessary materials on hand
- Manage meeting room bookings and guest services, including tea and coffee service, catering, and support for in-house events
- Maintain and tidy kitchen areas, including stacking and unpacking dishwashers, keeping the fridge stocked, and coffee machine upkeep
- Order office and kitchen supplies and keep stock inventory up to date
- Maintain office equipment such as photocopiers and the phone system, reporting and following up on any maintenance or repair needs
- Keep updated records of office expenses and costs
- Maintain office security, including monitoring the visitor logbook and issuing visitor badges
- Provide broader clerical and administrative support such as filing, photocopying and binding
- Provide assistance to the Executive Assistant team as required
- A professional attitude and polished presentation
- Strong written and verbal communication skills
- A resourceful, proactive approach to problem-solving
- Excellent organisational skills, with the ability to multitask and prioritise competing tasks
- A genuine customer service mindset
