This is a modern Australian law firm offering fixed-price, business-focused legal services. It specialises in commercial, intellectual property, and technology law. By eliminating billable hours, the firm provides clients with cost certainty and transparency. The team works closely with businesses, serving as a trusted legal partner. Flexible service models support everything from one-off projects to ongoing legal needs.

About the role:

This role supports the legal team with a mix of admin, coordination, and office tasks. You'll help manage inboxes, invoicing, trade mark admin, and document formatting. Day-to-day, you’ll keep the office running smoothly and assist the team with communication, scheduling, and supplies. It’s a hands-on role that keeps the team organised, informed, and supported.

Duties:
  • Monitor shared inboxes (e.g., info@) and assist with trade mark administration.
  • Prepare and chase client invoices; manage accounts payable and office expenses.
  • Format documents, contracts, and proposals; assist with blog and website updates.
  • Support the team with scheduling, meeting prep, and day-to-day admin tasks.
  • Coordinate office supplies, kitchen upkeep, and IT or building-related issues.
  • Welcome clients, manage meeting rooms, and maintain a professional office environment.
  • Assist with team communications, events (e.g., Thirsty Thursdays), and onboarding.
Skills & experience:
  • Previous experience in an administrative, legal assistant, or team support role.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, DocuSign, Canva, and document formatting tools.
  • Comfortable using systems like Xero, Contract Express, and WordPress (or willingness to learn).
  • A proactive, can-do attitude and willingness to support the team in a variety of tasks.
  • Attention to detail and a high standard of accuracy in all work.
  • Ability to work independently and maintain confidentiality.
  • Experience in a legal or professional services environment (preferred but not essential).
